Administrative Assistant

Almstead Tree and Shrub Care Co. is a second-generation, family-owned firm established in 1964 that services commercial and residential clients throughout the NY, NJ, and CT tri-state area. This position is the right hand to our CEO and top Sales Arborist, he is seeking an Admin who thrives in a fast paced environment, is a team player and ensures a positive experience for both clients and employees.

We are looking for a professional well-versed in the service based industry with great communication and writing skills who is highly organized able to multi-task and negotiate time managing client proposals, and the daily support for our CEO.

Job Description

The successful candidate will be a word expert! They must be skilled in English composition and grammar and be comfortable speaking with a wide-ranging array of clients on a daily basis. The ideal candidate will demonstrate professionalism, attention to detail, courtesy, and will enjoy communicating with others at all levels of the organization.

Responsibilities

  • Create detailed in-depth client specific proposals with images in conjunction with the sales arborists.
  • Handle information requests and e-mail correspondence, arrange conference calls, and schedule meetings.
  • Customer service/inside sales: phone work including outbound client calls, customer service support and scheduling appointments.
  • Maintaining sales calendar, creating work orders, daily debriefing.
  • Administration of customer database and files, payment processing as required.
  • Ensure adequate turnaround of proposals and processes with excellent speed of service with a superior client experience.
  • Coordinate work to be scheduled for clients including notification and appointment scheduling.
  • Ensure company policies and standards are adhered to for excellent customer service.
  • Coordinate daily meeting with CEO to provide office update, relay customer concerns, close out daily billing, and management of call log with timely action plan review.

Requirements

  • Minimum five years’ experience as an Administrative Assistant.
  • Four-year degree in Business, Business Management, English, Communications, Literature, Journalism, or related field.
  • Prior experience creating proposals, reports and/or presentations highly preferred.
  • Experience dealing with broad array of clientele and providing exceptional customer service.
  • Service Industry experience a plus.

Skills/ Abilities

  • Highly Proficient in Microsoft Word, Excel and Outlook.
  • Must possess strong written and verbal communication skills including proposal writing skills.
  • The ability to multi-task with outstanding follow up and follow through.
  • Sharp attention to detail.
  • Effective time management and organizational skills required.
  • High level of professionalism and phone etiquette.
