Administrative Assistant

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks in the office of a growing professional mental health counseling practice. Our mission is to expand the availability of quality mental health services in the community. Duties of the Administrative Assistant include providing support to the director and employees, assisting in daily office needs, and managing our company’s general administrative activities, including appointment scheduling and insurance billing. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like Microsoft Word and Excel. Ultimately, a successful Administrative Assistant should be dependable and reliably ensure the efficient and smooth day-to-day operation of our office. If you have previous experience as a secretary or administrative assistant and familiarity or interest in the industry of mental health service delivery, we’d like to meet you.   • Answer and direct phone calls from current and prospective clients
  • Schedule and actively maintain organization of appointments on multiple calendars
  • Assist with preparation of counselor credentialing applications to panel with various insurance companies, including compiling staff data and submitting applications in a timely fashion
  • Complete verification of prospective client insurance benefits and update insurance information as appropriate
  • Manage insurance billing including ongoing submission and resolution of billing issues
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Maintain contact lists
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients


  • Proven experience as an administrative assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS Word, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; college coursework or degree in the field of psychology or social work a plus

Job Type: Full-time

Pay: $15.00 – $18.00 per hour
