SOFT’s client located in NYC is looking for a Administrative Assistant for a long term contract assignment.
SOFT’s client, located in NYC is seeking for an Administrative Assistant for a long term contract assignment. 5+ years experience working with senior level executives is required. This role is on-site in lower Manhattan.

Responsibilities:

  • Manage and coordinate complex schedules and calendars, identify potential conflict, and work collaboratively with internal and external counterparts to resolve
  • Plan and coordinate meetings, conferences, or other special events, both onsite and offsite
  • Manage conference room bookings and work with colleagues to resolve scheduling conflict
  • Prepare domestic and international travel arrangements, itineraries, and expense reports
  • Develop spreadsheets, tables and charts as needed for tracking and informational purposes
  • Compose and proofread correspondence and support briefing materials and presentations
  • Create and update organizational charts in Visio and update floor plans in PowerPoint
  • Monitor and reconcile FedEx invoices
  • Process and track purchase orders and manage the area’s inventory of office and pantry supplies as well as maintain area pantry
  • Provide back-up support to other Administrative Assistants
  • Minimum 5 years of working with senior level executives.

Qualifications:

  • A self-starter, with excellent attention to detail and follow-up skills.
  • Demonstrated ability to manage multiple assignments, meet deadlines, coordinate multiple calendars and schedule a high-volume of internal and external meetings; work independently and follow through to resolve day-to-day administrative matters
  • Ability to appropriately interact with all levels of management, including high-level official contacts and visitors
  • Excellent judgment and discretion in handling sensitive data and confidential information
  • Ability to effectively work in a virtual environment and provide back up support to the Group’s administrative support services team
  • Ability to work with minimum supervision and guidance, excellent prioritization and organizational and skills
  • Excellent at leveraging technology, including, proficiency in MS Office (Word, Excel, PowerPoint, Visio and Teams) and other Bank applications used by the Administrative Team, such as Workday and SharePoint

Job Types: Full-time, Contract

Pay: $1.00 per hour

  • MS Office (Word, Excel, PowerPoint, Visio and Teams: 6 years (Required)
  • Monitor and reconcile FedEx invoices: 6 years (Preferred)
