Job Goal:
The Executive Assistant will provide support and assistance to the CEO by helping with special events, fund development, communications and other administrative tasks.


  • Bachelor’s degree preferred
  • Bilingual (preferred)
  • Min 3 years professional experience
  • Experience as an Executive or Administrative Assistant preferred
  • Skill Requirements:
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
  • Knowledge of standard office administrative practices and procedures
  • Organizational and planning skills
  • Strong written and verbal communication skills
  • Problem analysis and problem solving skills
  • Attention to detail
  • Ability to work independently or in a team setting

Preferred Skills:

  • Knowledge of content management and email marketing systems
  • Knowledge of social media
  • Knowledge of philanthropy, fundraising, and/or charitable giving
  • Bilingual – Conversational Spanish

Performance Responsibilities:

  • All duties as assigned
  • Manage all day-to-day business functions for the CEO
  • Manage and maintain CEO’s schedule, appointments and tours
  • Arrange and coordinate meetings, conference calls, events and travel
  • Interact with internal & external constituents such as families, donors, sponsors and prospective families
  • Record, transcribe and distribute meeting minutes
  • Assist with budget and paperwork such as submitting reimbursements
  • File and retrieve documents and reference materials
  • Conduct research, and collect and analyze data to prepare reports and documents
  • Prepare and edit correspondence, communications, presentations and other documents
  • Screen, respond to and distribute incoming communications from [email protected] email
  • Identify public speaking engagements and opportunities for visibility
  • Contact media to initiate coverage
  • Track and archive news coverage
  • Attend events as a Wayside Schools ambassador
  • Prepare personal letters of invitation, thanks, explanation, information and cultivation
  • Act as a liaison with staff at all levels
  • Help maintain donor database
  • Oversee special projects
  • Assist with special events such as the student FUNd RUN and donor luncheon
  • Availability to work evenings and weekends as needed
  • Personal Work Relationships:
  • Candidate receives administrative supervision from CEO and is typically evaluated formally one time per year.
  • Candidate will regularly engage with all district personnel, students, and parents to effectively communicate the activities of Wayside Schools.

This position is exempt from the Fair Labor Standards Act (FLSA). The office hours are 8 a.m. to 5 p.m., however, from time to time may work an extended schedule, including weekends and evenings according to demands of the role and tasks.
