The Financial Aid Systems Operational Analyst’s primary responsibilities include weekly financial aid processes and reporting associated with packaging and repackaging financial aid for new and continuing students and analyzing the results to identify and troubleshoot problems. Managing the special scholarship awarding and scholarship re-awarding process for incoming new students, and processing of admissions changes received via the Help Desk. Processing, monitoring, and reconciling Federal Work Study (FWS) earnings. Assisting the Director of Financial Aid Systems in the annual maintenance/set up of financial aid systems including Banner and Automic. Assisting the Associate Director in the maintenance of financial aid systems including TeamDynamix, AppXtender, NextGen Dynamic Forms, NextGen Dynamic Forms Exchange (DFE), IVY chatbot, and website.

Position Duties
  • Performs weekly financial aid processing to assign tracking, budgeting, and packaging groups and all associated processes leading to and including Packaging financial aid and analyzing the results to identify and troubleshoot problems.
  • Performs weekly financial aid processes associated with repackaging financial aid for students with new ISIR transactions.
  • Sends weekly processing emails.
  • Performs weekly processing reporting associated with packaging.
  • Generates Scholarship Only and Award letters for incoming students for Slate.
  • Manages scholarship re-awarding for incoming new students with Admissions.
  • Processes Admissions changes received via Help Desk.
  • Posts departmental or special awards for incoming new students.
  • Assists Director and Associate Director of Financial Aid Systems with awarding Achievement Awards and other specialty awards.
  • Loads payroll records into the Financial Aid module and make manual adjustments as needed after each Payroll is completed to ensure that Federal Work Study (FWS) earnings are recorded properly.
  • Works with Human Resources, Finance, and Administration, and departmental supervisors to adjust positions and allocations to ensure the accurate recording of FWS spending.
  • Assists Director of Financial Aid systems with monitoring FWS expenditures and awards students FWS if needed to ensure adequate spending.
  • Reconciles FWS awards and expenditures for the annual FISAP process.
  • Assists in the training of Financial Aid Counselors and Support Staff with regards to weekly financial aid processes, packaging, and financial aid systems and operations.
  • Assists Director of Financial Aid Systems and Associate Director with systems testing and implementations, as appropriate.
  • Under the direction of the Director of Financial Aid Systems and/or the Associate Director of Financial Aid Systems, assists with annual forms creation/set-up, IVY chatbot, NextGen Dynamic Forms and TeamDynamix maintenance, back-office data entry, providing documentation for the annual audit and assisting with annual Banner System set-up.
  • Provides back-up for communications mailings, NextGen and Dynamic Forms Exchange (DFE) troubleshooting, Graduate Scholarship maintenance, and weekly Federal financial aid application processing (ISIRs).
  • Assists the Director and Associate Director of Financial Aid Systems with creating, maintaining, and running reports used to support the day-to-day operation of the Financial Aid office.
    • Assists current and prospective students with questions and issues relating to their federal, state, and institutional aid and with procedures related to receiving financial aid.
  • Maintains accurate and properly documented financial aid records in compliance with federal and state regulations and institutional policy.
  • Keeps up to date on new regulations and procedures affecting financial aid administration.
  • Performs other such duties as may be assigned from time to time.

Position Qualifications
  • Bachelor’s degree or equivalent required.
  • Financial Aid experience is highly desired.
  • Strong computer skills including Windows and Microsoft Office Suite.
  • Ability to navigate various computer software and applications.
  • Strong problem-solving, analytical, and organizational skills are a must.
  • Ability to maintain confidentiality, be detail-oriented, exercise sound judgment, and act with initiative.
  • Excellent communication (oral and written) and interpersonal skills in all media (telephone, zoom, in-person, and e-mail) are required.
  • Ellucian Banner experience preferred.
  • Higher Education experience preferred.
  • This is a remote position, however, must be able to visit any campus if required.

Work Hours
Monday through Friday, 9AM to 5PM; occasional evenings and weekends, as needed.

This is a remote position that may require occasional travel to any of the Pace University campus locations (Pleasantville, Valhalla, White Plains, New York City).

Minimum Annual Salary Or Hourly Wage
$48,000 per annum

$50,000 per annum
