Job Summary

We are looking for a Check Out Coordinator that will mark the first impression to our patients by greeting them in a friendly and welcoming manner. They will be responsible for answering calls, greeting patients, organizing paperwork, scheduling patient’s appointments, and other administrative duties.


Monday – Thursday: 8AM – 5PM & Half-day Fridays!

Role & Responsibilities

  • Answer all incoming phone calls, make outbound calls, and provide accurate information
  • Answer and Direct all incoming text message patient communication and provide accurate information
  • Assist and Field Referring Provider-Patient Scheduling Questions and schedule as Needed
  • Serve visitors by greeting, welcoming, and directing them appropriately
  • Collects payments from the patient’s outstanding balances
  • Administer allergy injections to patients and check patients’ vitals when needed
  • Provide support to the back office by monitoring patients in the waiting room
  • Obtains CT authorizations from the patient’s insurance company
  • Schedules follow-up appointments through our scheduling system
  • Records patient health information accurately into the EHR system
  • Prepare and organize patient paperwork for upcoming appointments
  • Copy or scan necessary documents into NextGen to be assigned to patient charts
  • Monitors incoming pharmacy shipments and prepare it for patient pick-up
  • Stock the front desk, waiting room, and break room with necessary supplies
  • Conduct weekly bank deposits
  • Checks incoming mail and processes accordingly
  • Ensures all of end of day reports and logs are accurate and complete
  • Adheres to OSHA requirements including universal precautions and sharps disposal guidelines
  • Follows all HIPAA rules and regulations including confidentiality or patient information

. Requirements:

  • 1+ years front desk receptionist (preferably in the Healthcare industry)
  • 1+ years experience with Electronic Health Records (EHR) is preferred
  • Highly prefer a Medical assistant background
  • Flexibility to travel within assigned region

Skills & Knowledge

  • Must possess exceptional customer service skills
  • Must possess the ability to complete duties in a timely manner is imperative
  • Must be able to maintain confidentiality when handling sensitive patient information per HIPAA guidelines
  • Must possess exceptional verbal and written communication skills
  • Must possess effective problem-solving skills
  • Must work well with others in a team environment
