The Office Administrative Support Assistant will support the facility and operational needs of the business performing diversified clerical duties play a key collaborative role in keeping business initiatives organized and support facilities. Provides office assistance to issues pertaining to office facility functions (this may inlcude contacting building management for repairs).

  • Office Clerical Support: Performs general clerical duties (photocopy, fax, mails and filing) as needed. Review and distributes office supplies, organize department supply room, reviews and tracks PPE supply inventory, and communicates with all external delivery vendors for the receipt of shipments to the office. Responsible to assist with the facility and operational on-boarding process for new hires. Contacts external vendors to connect new phone extensions, voicemails and seating arrangements where applicable.
  • Reception: Provides back up support for reception as needed. Meets and greet clients, resolves non-routine situations based on established policies and procedures and refers non solved issues and questions to the appropriate party.
  • Administrative Support: Provides administrative support for an organizational unit or department(s) to maintain and improve the work flow level and efficiency.
  • Word Processing/Typing: Independently respond to and compose correspondence. Types and proofreads memos and reports.
  • Reports: Gathers data and information from various sources, prepares reports based on information compiled, and responds to requests for information.
  • Scheduling/Coordinating: Manages Google calendar, makes arrangements involving multiple contacts and conferences or virtual meetings under minimum direction. Recognizes and identifies information that can be disseminated and to whom, assists with special events planning.

Qualifications and Skills

  • Associate‚Äôs degree in a related field.
  • Minimum of 2 years of relative Administrative Assistant experience.
  • Ability to manage concurrent tasks with a strong degree of accuracy
  • Ability to work with discretion and tact to handle confidential information
  • Strong typing skills; comfort using a spreadsheet and other reporting tools
  • Experience in MS Suite (Word, Excel and PowerPoint)
  • Experience in Google Calendar, email and Drive
  • Effective verbal and written communication skills
  • Ability to multitask and prioritize with a strong sense of urgency
  • Strong organization and time management skills
  • Able to thrive in a fast-paced environment and work equally well as part of a team and individually

Job Type: Full-time

Pay: $35,000.00 – $40,000.00 per year
