Practice Specialist I

Overview:

Sheppard, Mullin, Richter & Hampton LLP, an Am Law 50 firm, is seeking a Practice Specialist I based in the New York office.

This role works with a dynamic team who is looking for a forward-thinking and eager-to-learn individual. This person must be a good communicator who is well-organized and efficient.

Responsibilities:

The Practice Specialist will primarily support attorneys in the practice group. This person will assist with daily workflow regarding procedures, deadlines, intake, conflicts and engagement letters. This person will be responsible for reporting documentation and status reports to the team.

Essential Functions of Job:
  • Ensure client-matter numbers are opened according to the Firm’s guidelines including preparing conflicts checks, intake and engagement letters.
  • Proactively manage workflow, ensuring all deadlines are met in a timely manner.
  • Work closely with attorneys and paralegals to prepare correspondence using the Firm’s standards and procedures.
  • Communicate regularly with the team. Double check work product before presenting to attorney for review and again before sending or filing.
  • Proficiently manage the partner’s calendar and possess proficient knowledge of Zoom and Microsoft Teams meetings.
  • Familiarity with transactional work and possess the ability to organize and manage items such as precedent files, due diligence folders, execution documents/closing books, for example.
  • Administrative tasks include, but are not limited to, maintaining client files, entering time, and promptly submitting expense reports and vendor invoices.

Qualifications:

Required Qualifications:
  • 10+ years of transactional experience in a law firm;
  • Strong communication skills;
  • Attention to detail, willingness to learn, initiative and versatility;
  • Proficiency with Microsoft Office;
  • Ability to work independently and within a team environment;

Education



Preferred: Bachelor’s Degree

Computer/Software Knowledge



Required: Microsoft Suite of programs especially Outlook, Word, and Excel.

Work Environment


After hours and weekend work will be required on occasion as the workload requires.
