Job Overview

Responsible for the Administration and Coordination of Store Environment managed capital in accordance with the Corporate Capital Administration Manual and other applicable corporate policies. Generates, coordinates and administers the financial commitments for assigned Project Managers (PMs). Works directly with approved vendors to properly set-up their companies in Macy’s Capital Control Systems, issues capital financial commitments, and ensures all required paperwork is properly prepared and processed.

Essential Functions

  • Generate and distribute capital contracts, purchase orders and change orders in accordance with the Capital Administration Manual and corporate policies. Review vendor proposals for cost breakdown and scopes of work to ensure proper financial accounting through Trade Codes and adherence to all appropriate tax regulations.
  • Effectively communicates issues requiring corrections/adjustments to both Project Managers and third party vendors. Communicates with third party vendors to initiate new vendor set ups and resolve potential conflicts (i.e. missing documentation, invoicing). Assists in training PMs and field personnel on proper submission of quotes/estimates. Acts as liaison between project team, vendor and Corporate Capital Control on all Capital Administration issues related to contract language, terms and conditions, applicable taxes, liens, bids and any other documentation requirements.
  • Networking and partnering with other Macy’s Inc. departments including Stores, Purchasing, Energy, Risk Management, Construction, Store Design, Facilities, Bloomingdale’s and Capital Control.
  • Manages workload and prioritizes tasks. Become well versed on all project systems and maintains all paperwork/documentation as outlined in the company document retention program.

Qualifications and Competencies

  • Bachelor’s Degree or 2-4 years of administration, accounting &/or capital related experience preferred.
  • Effectively communicate and present information in one-on-one and small group situations to customers, and all levels of internal and external business partners.
  • Ability to effectively plan and execute strategies.
  • Ability to monitor and maneuver workflow to achieve priorities.
  • Ability to work a flexible schedule with retail hours, including day, evening, weekends, and/or holidays

Physical Requirements

  • This position requires regular walking, standing, hearing, and talking. May occasionally be required to stoop, kneel, or crouch. Vision abilities include close vision, color vision, depth perception, and ability to adjust focus.
  • Frequent use of computers and other technology, necessary to perform job functions
  • Frequently lift/move up to 25lbs
